Importing data as CSV


iFreeTools supports importing of data as CSV files. This option is available in list views under More Actions > Import from CSV. If the CSV file contains identity values (example: key-id, if the file was exported out earlier from iFreeTools), it will be used to find and update existing records. If the record could not be found, a new record will be added to the database.

This facility enables you to store a backup of your data or perform offline bulk update which can be imported again to iFreeTools. The option for the exporting the data is available in list views under More Actions > Export as CSV.



Bulk addition of data


Apart from importing data in bulk by using CSV files,  you can also perform bulk addition of data directly within our online application. This option is available in list view under More Actions > Add Multiple Records. Using this one can easily enter the details for multiple database records in single page and save them at all once.

Once the details are added to the database, you can return back to the page from where you came to this form and see the records you had just added.

Bulk edit records


To edit the data in bulk, you can select one or more records from the list view and click on More Actions > Bulk Edit button. This will bring up the bulk edit form. This enables attributes to be modified by selecting appropriate check-boxes and to  enter the values for those attributes and then save them to the database. Other disabled attributes in the bulk edit form will remain unchanged.

You can also save this bulk edit changes as a custom action with name. This saved custom action helps you to perform the changes in single click, instead of having to load the edit form to make those changes.

Bulk delete records


This facility helps you to delete the database records in bulk, by selecting one or more records in the list views and proceeding to click on More Actions > Bulk Delete.

Creating Custom Views to filter records


Creating custom views enable you to filter records into multiple views for quick access to the data which is of concern. For example, you can create views to see Pending records (entries having Status as Pending) or Expiring Today (those having Expiry Date as Today).

As part of the Entity configuration, you can specify if you would like to Allow Custom Views for that entity, as shown in the image below.


Once the Allow Custom Views option is enabled, users will get to see the link to Add Custom View, under that entity, like shown below.


Clicking on this link will bring up a form wherein one can provide the view name, description and the criteria to be used for filtering. Currently in the free version, one can filter records using Choice value fields (text fields containing Choice Values), Look-up (Reference) fields, Date and Date-Time fields, Yes/No (Boolean) fields.

For records having User look-up (reference) fields, one can create views to enable viewing only the currently logged-in users records.

Similarly for Date & Date-Time fields, one can create views based on relative time fields (Yesterday / Today / This Week / Next Week / Last Month / This Month / etc.,.)

Using Calendar Views


All entities which have a Date or a Date-Time fields will now have an option to view the records in a Calendar View. This calendar view will have options to view the records based on Month, Week or Day & it is also possible to show the entries with configurable background & text colors.

Creating Custom Actions for single-click bulk edit


When performing bulk edit operation, you can save the changes as a custom action by providing a name for it. For admin users one can additionally specify if the Custom Action needs to be available for all users or just for that admin user.

Once the custom action is added, users will be able to select one or more records and click on custom action button available under More Actions.

You can get to know more details of the custom actions by clicking on More Actions > Action Details. Here, you will also find an option to delete the custom action.
